This explains, in plain terms, what personal details we collect from the artists and householders who take part in the Tollesbury Arts Trail, why we collect them, how long we keep them, and the choices you have. We have kept it deliberately short and honest.

Who we are

The Tollesbury Arts Trail (“we”, “us”) organises the annual arts trail through the village. We are the data controller for the details you give us when you take part. You can reach us at hello@nearmark.co.uk.

What we collect, and why

When you sign up to take part, we ask for:

Our lawful basis is your consent. You give it by ticking the box on the sign-up form, and you can withdraw it at any time (see below). We ask you to confirm you own the photos you upload, or have permission to use them.

How long we keep it, and when it is public

When your details are public. Your name and address appear in the free trail app only around the event – no earlier than three months before, and removed within one month after. For the 2026 trail (Saturday 12 September) they will be shown until 12 October 2026 at the latest.

How long we store it afterwards. If you do not ask us to keep your details, we delete your address and contact details after the trail. If you tick “save my details for future trails”, we keep them so you do not have to sign up again – we check with you before each trail that you are still happy, and we delete them if you have not taken part for two years. Your details are only ever shown publicly during each trail’s window.

Who can see it

Only the small team running the trail. We do not sell your details or use them for anything other than running the trail. Our app and this website are hosted by Supabase and Vercel, on servers in the European Union; they store the data on our behalf and do not use it for their own purposes.
